Privacy Policy
Effective 12 October 2026 · VeriTrace · Company Reg. 2024/793377/07
Who we are
VeriTrace provides desktop tracing and information verification in South Africa. This notice covers enquiries submitted on this website and personal information supplied for a requested service. Information is processed in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Information we collect
The request form collects your name, contact details, optional company details, selected service, limited subject details, purpose, lawful basis and confirmation of authority. During an accepted instruction, relevant information may also be obtained from you, authorised sources, company registers or property records, as appropriate to the lawful purpose.
Purpose and lawful basis
We use enquiry details to assess a request, contact you, confirm scope, pricing and turnaround, and manage the instruction. Before a trace begins, we review its purpose and consent or other lawful authority. Consent is not assumed merely because a requester has ticked a box. Rental screening requires signed applicant consent. We may decline requests without a lawful basis.
Minimal disclosure
Provide only the information needed for an initial assessment. Do not send identity document copies, bank details, passwords or sensitive records through the enquiry form. Any additional supporting documents should be supplied through a channel agreed with VeriTrace.
Storage and sharing
Website enquiries are stored using Lovable Cloud. Information is intended for authorised personnel and service providers supporting the instruction, and for disclosures required by law. It is not supplied for unrelated use. Where a provider processes information outside South Africa, the applicable POPIA requirements for cross-border transfers must be assessed.
Retention and safeguards
Personal information should be kept only as long as necessary for its stated purpose or a legal requirement, then securely deleted or de-identified. Enquiry records are not publicly accessible through the website. Contact the Information Officer to discuss retention, access or deletion of a particular record.
Your rights and complaints
You may request access to your personal information, correction of inaccurate information, or deletion where permitted by law. You may object to processing or withdraw consent where consent is the basis, subject to lawful limitations. We may need to verify your identity before responding. Contact our Information Officer below. You may also lodge a complaint with South Africa’s Information Regulator at inforegulator.org.za.
Website technologies and changes
The request form does not require a visitor account. Hosting providers may process technical information needed to operate and protect the website. This notice should be updated when processing practices change; the effective date identifies the current version.
