Terms of Service
Effective 12 October 2026 · VeriTrace · Company Reg. 2024/793377/07
Our services
VeriTrace provides desktop-based tracing and information verification only. No fieldwork is included. Available services include tracing, employment and tenant verification, company and director searches, and property or asset-related research, subject to the agreed scope and lawful access to information.
Requests and acceptance
Submitting an enquiry does not start a trace or confirm acceptance of an instruction. We first assess the purpose, lawful authority, available details and requested scope. We confirm pricing and turnaround before work begins. Custom services and bundles are quoted individually.
Lawful instructions
You must provide accurate information, identify the purpose of your request and have consent or another applicable lawful authority for processing the subject’s information. VeriTrace reviews purpose and authority before every trace and may request supporting evidence or decline an instruction. Signed applicant consent is required for rental screening. Services may not be used for harassment, stalking, intimidation or unlawful surveillance.
Pricing and payment
The agreed quote governs the service fee. Guide prices exclude VAT; VAT is added where applicable. Disbursements are charged at cost in addition to the service fee. New clients pay upfront; approved accounts are invoiced monthly on 30-day terms. Volume discounts apply from 20 bundle searches per month, subject to the agreed quote. Our no trace, no fee promise applies to tracing services; the applicable scope is confirmed before work begins.
Turnaround and reports
Standard tracing turnaround is 72–96 hours, with the timing for your instruction confirmed before work begins. Results depend on available records and sources. Information can change and a report reflects the sources available when the research is conducted. Please raise any suspected inaccuracy so it can be reviewed.
Use of information
Reports are supplied for the lawful purpose agreed in the instruction. Keep them confidential, restrict access to authorised recipients and do not repurpose or distribute personal information unlawfully. A report does not replace independent legal, financial or other professional advice.
Questions and applicable law
These terms are subject to applicable South African law and do not exclude rights that cannot lawfully be excluded. Questions about a quote, report or instruction can be sent to services@veritrace.co.za or discussed by calling 071 870 7074. Privacy matters should be directed to the Information Officer below.
